At some point you will likely receive an email from the Office of the Registrar requesting you to "record a designator for either class participation or non-participation and a final grade" for a student who has withdrawn from your course. Below you will find information on how to address this using Canvas to identify the Last Date of Attendance and Catalyst to enter the grade.

The email you receive from the registrar will look something like this:

The following student has withdrawn from your class. This withdrawal was submitted online on DATE.

Name: Student Name
UCID: Student M Number
Term: The four digit semester code
Course: Course code
Course Title: Title of your course

Please enter Online Class Grading to record a designator for either class participation or non-participation and a final grade for this student. To log in to Online Class Grading, go to Catalyst. We ask that you enter the participation designator as soon as possible so that UC may comply with federal reporting deadlines.

Last Date of Attendance

When you go to "record a designator for either class participation or non-participation and a final grade" for a withdrawn student, you will be required to enter a Last Date of Attendance for the student. If this is an online course or you record attendance in Canvas, when you go to get the information in Canvas, you may find that the student is no longer visible in your course. You will need to make that student visible in your course before proceeding. Go to your gradebook. The first column has student names. Hover your mouse over "Student Name" at the top of the column. An icon with three dots will appear next to Student Name. Click that icon. In the pop-up box, click Inactive Enrollments. This will add back the students who are no longer enrolled in your course. Now you can see the student in your gradebook/course. Reverse that process to hide those students from your gradebook again.

Entering Information in Catalyst

Now that you have the Last Date of Attendance, you can go to Catalyst (catalyst.uc.edu) to enter a grade (F, W, WX). Open Catalyst, enter your Faculty Center, make sure you are in the correct semester, and then click the grade roster icon next to the correct course/section.

Now you should see the withdrawn student(s). You will need to enter the appropriate grade (F, W, WX) into the Participation Grade section. Clicking on the magnifying glass will open a popup with the options. If you are not sure which option is appropriate, your Department Chair should be able to help you make an appropriate selection. After entering the grade, enter the Last Date of Attendance in the final column. Clicking the small calendar icon will allow you to pick the date from a calendar.
